Secure Your Meeting Space

Reserve dedicated space to host your AFFI-CON business meetings to maximize your time at the event and close more business deals.

The Manchester Grand Hyatt is home to all AFFI-CON events, meeting rooms, suites, company showcases and semi-private tables. You can explore the details of each of these spaces below. 

The deadline to request private hotel meeting rooms and suites was October 27, 2023. If you complete a request for a suite or meeting room after this date, you will be placed on a waitlist and notified should your status change. All meeting rooms and suites are assigned per the AFFI-CON Council policy.

The priority point system is based on these key factors:

  1. AFFI Membership
  2. Sponsorship
  3. Membership Dues Level (Tie-breaker)

The points system is designed to give the highest preference to AFFI processor and associate members, followed by sponsorship. AFFI membership dues will be a tiebreaker in a priority point system tie.

A company’s standing can change yearly depending on AFFI membership growth, sponsorship sales, and the number of requests received. The host property offers limited meeting rooms and suites; your first choice and/or multiple requests are not guaranteed.

Assignments

Meeting rooms and suites will be assigned and confirmed via email in November 2023. Requests received for suites or meeting rooms after October 27, will be placed on a waitlist. Company showcases and semi-private tables can be directly purchased in the Business Meeting Space Reservation system that is accessible through your registration confirmation email. 

Company Showcases

Formerly known as exhibit booths, showcases expand your company’s presence at the event by putting your products or services out on display in The Hub, located in the main ballroom during AFFI-CON 2024.

All Company Showcases Include:
  • 10ft.x10ft. space with a bistro table with four chairs, pipe and drape;
  • Company listing on the AFFI-CON website & in the on-site print program
  • Complimentary meeting space for meetings held on Tuesday (after the showcases close Monday evening)
  • Dedicated space to be used for product display or to host business meetings
  • Exposure to all AFFI-CON attendees during the Welcome Reception
Showcase Costs & Dates:
  • AFFI Member $2,500 (Available Saturday 2/24 to Monday 2/26/22)
  • Non-Member $4,000 (Available Saturday 2/24 to Monday 2/26/22)
Assignment of Space:

Space is available on a first come, first served basis. To reserve a showcase, one attendee from the company must first register for AFFI-CON. In the registration confirmation email there will be a link to the Business Meeting Space request system where the showcase can be purchased (follow system prompts to the third screen to see showcase options).  Once full payment is received, AFFI will assign you an available showcase by attempting to honor your preferred location indicated during purchase. AFFI reserves the right to relocate showcases onsite due to fire marshal regulations and failure to be set by show opening.

Giveaway Policy for Showcases:

Samples, catalogues, pamphlets, souvenirs, etc. may be distributed by exhibitors within their booth. Companies interested in conducting prize drawings, awards for signing of names, email addresses, etc. must submit their request in writing and receive written approval from AFFI prior to publishing advertisements for any giveaway or prize drawing.  Distribution of outside food and drink items requires the approval of the hotel and exhibitors should work with AFFI staff to obtain that approval ahead of time (additional fees may apply). Signs showing the price of prize items may not be displayed. Failure to meet these requirements will result in a forfeited prize drawing and/or showcase registration.

Semi-Private Tables

Located in or near The Hub, a semi-private table allows you to reserve dedicated meeting space for the event at our lowest rate. This package includes a 48” inch round table, four chairs, and a table-top sign with your company name and logo. Tables will be assigned alphabetically by company name and numbered accordingly to make it easy for attendees to navigate the room.

Suites

Penthouse Suite

Take in miraculous views from our elegant Penthouse Suites located on the top floors of the Seaport Tower. With 1,050 square feet of space, you can enjoy the luxury of having a service bar in parlor, separate bathroom in parlor, separate kitchen with sink and refrigerator, dining table for six and a double / double additional connecting bedroom (fees apply).

Presidential Suite

Enjoy the view from our Presidential Suites located on the top floors of the Harbor Tower. With 1,050 square feet of space you can hold small meetings or intimate dinner parties. Features include: service bar in parlor, spacious seating area, separate bathroom in parlor, separate kitchen with refrigerator, separate service entrance and a double / double additional connecting bedroom (fees apply).

Deluxe Hospitality Suite

The 1,400-square-foot Deluxe Hospitality suite connects to a 350-square-foot King or Double bedroom. Other features include: service bar in parlor, spacious seating area, private den, separate bathroom in parlor, separate kitchen with sink and refrigerator, dining or conference table for ten and separate service entrance.

Hospitality Suite

The 1,050-square-foot Hospitality Suite is connected to a 350-square-foot King or Double bedroom. Other features include: service bar in parlor, spacious seating area, separate bathroom in parlor, separate kitchen with sink and refrigerator, dining or conference table for six and separate service entrance.

Grand Suite

Entertain with grandeur in the 700-square-foot Grand Suite. Connected to a 350 square foot King or Double bedroom, the suite provides the following features: service bar in parlor, separate bathroom in parlor, separate kitchen with sink and refrigerator, dining table for six and a separate service entrance. Located on floors 29 & 30 in the Seaport Tower and 31-38 in the Harbor Tower.

Conference Suite

Connecting to a 350-square-foot King or Double bedroom the 700-square-foot Conference Suite has the following features: service bar in parlor, separate bathroom in parlor, separate kitchen with refrigerator and sink, dining or conference table for six and a separate service entrance. Located on floors 4-9 in the Seaport Tower and 6-9 in the Harbor Tower.

*You may request the removal of the bed and furniture to be replaced with a table and chairs for a meeting setup for a one-time fee of $200 plus service change and tax.

Meeting Rooms

Tier 1 – High floor with harbor views and floor-to-ceiling windows

Tier 2 – Fourth floor with windows

$2,250 for 3 days; additional per day rate at $750  – SOLD OUT

Tier 3 – Lower floor with no window

If your reservation request is accepted, payment is due upon receipt of invoice and will be paid within the same system used to request space. Checks and credit cards are accepted.
